AI Chatbots for File Management: Latest Innovations, Real-World Applications, and Underlying Technologies

1. Deloitte's Expansion of AI Chatbot 'PairD' in Audit Processes

Deloitte has significantly expanded the use of its in-house AI chatbot, PairD, among its UK audit staff.Introduced in late 2023, PairD assists in summarizing information, coding, and research.

Between April 2024 and February 2025, staff generated over 1.1 million prompts, utilizing the chatbot for complex tasks such as summarizing board minutes and extracting contract information.This integration aims to reduce routine tasks and enable junior auditors to engage in complex work sooner.

  • Natural Language Processing (NLP): Used to understand and generate human-like text, enabling the system to summarize documents and extract relevant content accurately;

  • Machine Learning (ML): Allows the chatbot to improve its performance based on past interactions, learning how to deliver increasingly relevant and useful results.

2. AI Chatbots with File Upload Capabilities

AI chatbots now support file upload features, allowing users to interact with and analyze documents (like PDFs, Word files, and spreadsheets).

Notable tools include ZenoChat by TextCortex, ChatGPT, and Claude AI, which allow custom AI use cases such as content summarization, translation, and data extraction.

  • Data Parsing: Enables the extraction of readable content from complex file formats like DOCX, PDF, and XLSX;

  • Contextual Understanding: Powers the AI’s ability to deliver answers based on user intent and document semantics.

3. Integration of AI Chatbots in Document Management Systems

Firms are embedding AI chatbots into their document management workflows to simplify search, extraction, and command execution via natural language.

For example, FabSoft integrates its chatbot with Microsoft Azure for intelligent document handling.

  • API Integration: Allows seamless communication between the AI chatbot and other software tools or databases;

  • Semantic Search: Improves the retrieval of information by interpreting the intent and contextual meaning behind user queries.

4. AI-Powered Document Summarization and Analysis Tools

Platforms like Sharly AI and ChatDOC empower users to upload documents and interact with them conversationally—asking questions, summarizing, or pulling key insights.They’re especially effective for quickly analyzing long contracts, financial reports, or research papers.

  • Optical Character Recognition (OCR): Used to extract machine-readable text from scanned documents or images;

  • Information Extraction: Captures relevant data such as names, dates, and figures from unstructured text.

5. AI Chatbots for Legal Document ManagementNew AI solutions are being applied to legal contexts, helping law firms or compliance teams navigate contracts and legislation more effectively.These bots can identify clauses, obligations, and risks inside legal documentation.

  • Legal Ontologies: Define relationships among legal concepts to give structure and meaning to legal texts in a machine-readable format;

  • Text Classification: Automatically sorts or tags documents by category (e.g., contracts, NDAs, regulatory filings).
